Administrative Assistant (Term)

Term Position – January – July 31, 2024
Based on 37.5 hours/week
(9 hours/week for Chamber; 28.5 hours/week for EIS)

Reports to EIS Program Director

Qualifications:

  • Experience as an Administrative Assistant, Virtual Assistant or Office Admin Assistant
  • Knowledge of office management systems and procedures
  • Experience working with office equipment, including computers, printers, etc.
  • Proficiency in Microsoft Office (Excel, PowerPoint and Teams in particular)
  • Excellent time management skills and ability to prioritize work
  • Attention to detail and problem-solving skills
  • Excellent written and verbal communication skills
  • Strong organizational skills with the ability to multi-task
  • High School degree; additional qualification as Administrative Assistant or Secretary is a plus
  • Works well under direction as well as independently
  • Non-profit experience an asset

Chamber/EIS Responsibilities:

Reception Duties

  • Greet and direct clients accordingly
  • Answer and transfer Teams phone calls/relay messages
  • Monitor traffic flow and schedule appointments
  • Mail duties (pick up/drop off)
  • Manage Calendar (staff appointments, birthdays, holidays, Chamber/EIS events, etc.)
  • Clean and tidy front/reception area as needed
  • Print and update posters in English and French for office display

Administration

  • Provide written monthly summary of activities, observations, trends, successes and challenges to Program Director
  • Provide feedback on potential future programs and services
  • Undertake or coordinate specific tasks relative to minor office maintenance

Community Liaison

  • Direct clients to translation and interpretation services
  • Network with community organizations and representatives to ensure continuous development and maintenance of partnerships
  • Attend immigrant community events and other community events when appropriate
  • Identify community educational opportunities EIS could facilitate as identified by immigrant communities or the local community
  • Stay informed on Chamber activities

Resource Coordination:

  • Ensure EIS resource area is properly maintained and organized
  • Order materials for the resource center as needed (purchase, pickup/delivery)
  • Ensure office/kitchen/boardroom is maintained and organized
  • Identify materials needed for office/kitchen/boardroom (purchase, pickup/delivery)
  • Ensure that EIS/Chamber bulletin board is current

*Other tasks as assigned

 

Job Types: Full-time, Fixed term contract

Salary: $16.00-$18.00 per hour

Flexible Language Requirement:

  • French not required

Schedule:

  • Day shift
  • Monday to Friday

Ability to commute/relocate:

  • Steinbach, MB R5G 0R5: reliably commute or plan to relocate before starting work (required)

Education:

  • Secondary School (preferred)

Experience:

  • Front desk: 1 year (preferred)

In this role, you will:

  • Identify potential business opportunities. You will develop new client relationships and look for opportunities to offer additional services to existing clients.
  • Conduct Discovery Meetings to learn about the needs and goals of local businesses.
  • Present radio and online plans aligned to your clients’ needs. Coordinate fulfillment of your clients’ orders through our administrative and creative teams.
  • Manage existing client relationships, including presenting progress reports to ensure advertising and marketing campaigns reach their desired objective Utilize CRM tools to forecast your sales progress.

Executive Assistant

We are looking for an Executive Assistant to join our team. This person will provide dedicated support the Chief Operating Officer (COO) playing a key role in Golden West’s success.

This is a term position, available for up to sixteen months. The successful candidate will have the opportunity to apply for internal openings at the end of their term.

In this role, you will
• Work the calendar. You will schedule the COO’s meetings and ensure their calendar aligns with their key priorities. You’ll look ahead at how they are using their time and make recommendations for improved time management.
• Communicate – a lot. You will manage inboxes, screen and reply to incoming requests, draft and circulate emails, and more.
• Arrange meetings and business events. You will schedule events, book venues, plan travel, choose catering options, develop and circulate agendas, and more. In meetings you’ll take notes and follow up to ensure timely completion of deliverables.
• Manage projects. You will take ownership of projects for your team. You will monitor task status, coordinate with internal and external stakeholders, and proactively identify opportunities for efficiency or innovation.
• Look for ways to continually improve the work of those you support. You will consistently look for ways to increase efficiency.
• Complete administrative tasks, such as tracking and submitting expenses and credit card invoices, managing files, and more.
• Other duties as required: The majority of your time will be spent on the activities listed above. However, Golden West is a team and individuals help wherever needed to advance shared goals.

Digital Marketing Specialist

We’re looking for an energetic and dedicated individual to join our team!

Print Studio One and Three-Six North Marketing partners with clients to build their brands across physical and digital platforms, connecting people to products and services that enrich their lives.
You will be joining a talented, innovative team working on creative projects that help build brands and make a difference.

Who You Are:

Responsibilities:
• Setting up and managing digital ad campaigns (primarily Google and Meta).
• Building and coordinating digital marketing plans, specifically paid and SEO strategies.
• Meeting with clients to understand their goals, create reporting and review campaign
performance, often communicating nuanced campaign details and recommendations.
• Providing guidance and recommendations for emerging technologies and industry trends.
• Assist our digital team with basic website edits.
